Accepting accommodation offers

Please read our 'Information Sheet - Question and Answers' as this will answer most of your questions regarding accepting (or declining) your place.

Accepting a place: King's Residences

1. Please read your offer letter together with the information sheet (PDF). It is essential that you respond by the deadline.

2. Pay the booking fee/damage deposit online and ensure you pick the "Accommodation Booking Fee / Damage Deposit" payment option, or telephone the residence to pay by debit/credit card. You may post a cheque but must ensure that it arrives before the deadline. Please refer to the appropriate Residence page for contact details.

3. Sign both copies of the Residence Agreement (which you received by email) and return it to the residence along with associated paperwork – see checklist below.

Accepting a place: Intercollegiate Halls

1. Follow the links in the offer email which you have received. This will enable you to accept the place and pay your deposit/booking fee online.

Should you need to contact the Hall the contact details and further information about the Halls are available on the Intercollegiate Halls' website.

Declining a place - all residences

Contact Accommodation Services in writing if you wish to decline your offer of a place at a King's, Liberty or Intercollegiate residence. See items 8 and 9 on the 'Information Sheet Questions and Answers' document  (PDF) for full instructions and options for reballot requests or submitting a Medical Self Assessment or Personal Statement Form. You can decline your offer by fax, letter or via the Online Enquiry Form but not via the telephone.

Checklist: King's residences acceptance

1.  Read your offer letter together with the information sheet. Respond before the deadline.

2. Before you accept the place read My residence, including the residence Regulations. A hard copy will be provided at the residence on arrival. Phone the residence if you have any questions.

3. Pay your booking fee/damage deposit (see above). If the full deposit is not received by the deadline your place will be cancelled.

4. Check and read the relevant Fee Schedule to confirm the cost of your accommodation and the deadlines for making payment. Read the Fee Payment Terms and Conditions and make any arrangements to have funds in place to pay your accommodation fees.

5. Complete the Electrical Appliances Form and return this to the residence with the Emergency Medical Questionnaire. Post these completed forms along with two signed copies of your Residence Agreement (which you will have received by email with your offer letter) to the residence, with one passport sized photo and a self addressed envelope, which will be used to return your copy of the Residence Agreement.

6. To apply to register with King's Health Centre complete the NHS Application Form online. When you have completed the form you then need to complete the New Patient Check form (which pops up when you have completed the first form). Both forms can be posted or emailed to the Health Centre or delivered in person after you arrive. Download and read the Practice Booklet. My offer has expired. What can I do?

Contact Accommodation Services immediately. Offers will be cancelled after the expiry date and it will not be possible to reinstate the offer. You may request to be included in a reballot but there will be no guarantee of another offer before the start of session and you may need to find alternative accommodation.

Arriving on a different date to the start of my Residence Agreement

You must notify the Residence Office, in advance, of your expected arrival date.

Arrivals before 03 January 2011

Unfortunately it is not usually possible to arrive earlier than 2pm on the 03 January 2011 although you can contact the residence to check whether this can be facilitated. Your allocated room may not be available and you will need to pay for the additional nights (which may be charged at a higher rate) before your arrival.

Arrivals from 03 January 2011

If you are arriving from the start of your Residence Agreement at 2pm on 03 January 2011 you MUST notify the residence of your expected arrival date BEFORE 4pm UK time on Thursday 22 December 2011. Arrivals after Sunday 8 January will need to pay a pro rata accommodation fee in advance.
