Obtaining copies

Readers are welcome to order copies of material for the purpose of private study either in person or remotely.  If you wish to obtain copies, please also refer to our reprographics regulations below.

We provide the following services:

  • Photocopies - provided on paper or digitally in low resolution pdf format. Please allow ten working days for the completion of your order.
  • Digital scans – provided via email or on CD. Please allow ten working days for the completion of your order.
  • Digital photography – readers are permitted to use handheld digital cameras upon completion of a copyright declaration form and is at the discretion of staff.
  • Microform printouts - Print-outs of published microforms may be made by readers.

Please note that copies of copyright material are made solely for the purpose of private study. Readers can make no further use of copied material without first seeking the permission of the copyright holder.

Remote orders

We offer a remote reprographics service for ordering copies without visiting the Archives. 

We ask that readers ordering remotely supply us with two documents, in line with users visiting the archive in person: a reader registration form, and a photocopying order form (pdf) or digital image order form (pdf). There is a £12.00 minimum charge for remote orders.

Copying charges (including VAT)

  • Photocopying (paper and electronic) - 36p per page
  • Microform printouts - 36p per page
  • Scans – bound items or unbound items of above A3 size – £9.60 for first image in an order, £6 for second and subsequent images in the same order
  • Scans – unbound items of up to A3 size or copies of existing images – £3.60 per image
  • CDs - £2.40 each
  • Postage and packing charges - vary depending on the number of copies to be posted and your location. Click here for information on postage charges (PDF format).

Additional specific customer requirements, e.g. image enhancement, will attract an additional discretionary charge.

Reproduction fees (including VAT)

We operate the following outline scale of charges:

  • Single use, UK rights – £60 per image
  • Single use, world rights – £120 per image
  • Single use for broadcast, perpetual rights - £420 per image

Fees may be reduced or waived for non-profit customers, academic customers or small print runs, at our discretion. A higher fee may be charged for use in TV or film, depending on circumstances. Please contact Archives staff for more information.

All prices quoted include VAT. If your billing address is in a country exempt from VAT (most countries outside the UK, the European Union and the European Economic Area), the VAT will automatically be deducted at the checkout if you make payment via the e-store.

Reprographics regulations

Photocopying and scanning

All copying is carried out by staff. ASCscansRequests for copying may be refused where there is a risk of damage, and some items may have to be copied using specialised equipment or techniques. This is due to the rare and often irreplaceable nature of the material held by Archives. This includes, but is not limited to, tightly bound volumes, large or heavy volumes, volumes of particular age or rarity, documents of marked fragility, and photographs.

Digital photography

The use of handheld digital cameras (including mobile phone, laptop and tablet cameras) in the Archives Reading Room is allowed upon completion of a copyright declaration form and is at the discretion of staff. Flash photography is not allowed, and requests to take photographs may be refused where there is a risk of damage to the item.

The use of tripod cameras may be permitted in special circumstances, with advance notice and at the discretion of staff. 

Microform printouts

Print-outs of published microforms may be made by readers themselves.
