You can make a booking by contacting the Conference & Timetabling Team on +44 (0)20 7848 1700 (option 3) and quoting the event reference (BSA 2009) to benefit from the preferential rate. The individual terms and conditions will apply for the bookings (please see below).

Accommodation is in en-suite single rooms at £37.00 per night.

Payments

Full payment on reservation must be made in order to confirm the booking. If you wish to pay by card, please have the card ready when calling to reserve your room. Please note that the card details will be destroyed after processing the payment.
 
Discount rate only available by telephone
The discount rate is available only via a telephone booking; any bookings made via the online booking system will be at the rack rate which is higher.
 
Refunds
The payment is refundable only if you cancel the booking 5 working days after the initial booking was made. If the period of 5 working dates has expired no refund will be given under any circumstances. The cancellation must be in writing.

Rates, Terms & Conditions - what you will need to book

The discounted rate for BSA 2009 conference delegates is £37.00 per en-suite single room inclusive of VAT.
 
Please note we only have single accommodation available.

House Rules - Independent Travellers

1. Liability & Insurance
i. To the fullest extent permitted by law (whether in contract, tort (including negligence), breach of statutory duty, restitution or otherwise)
The College and its employees shall not be liable for:
- any direct loss or damage to property of the Guest or
- any inconvenience or loss caused to any party as a result of cancellation or termination under section 7(vi): and
The liability of the College shall be limited to an amount equal to 1.25 times the deposit or fee paid as the case may be. The College does not exclude or limit its liability for death or personal injury from its negligence, or from its fraud, or otherwise where it is not lawful to do so.
 
2. Governing Law
This agreement shall be governed by and construed in accordance with English law and the English courts shall have the exclusive jurisdiction to settle any dispute arising out of or in connection with this agreement.
 
3. Health & Safety
i. All Guests must familiarise themselves with the fire regulations in operation whilst on College premises and the location of the nearest fire exit.
For residential accommodation bookings the information is also located on the back of bedroom doors.
If the fire alarm sounds, Guests must vacate the building calmly using the nearest designated exit, move to the assembly point and must not re-enter the building until instructed to do so.
ii. Lifts are not to be used during emergency evacuations.
iii. All rooms have a designated maximum occupancy for fire safety reasons and the number of people per room in the booking must not be exceeded.
iv. Hazardous, dangerous, illegal items/substances must not be brought into any College building or grounds under any circumstances.
v. The Guest/s must inform the Bureau in advance of any special requirements for Guests in the Booking (see section 11).
 
4. Guests with a disability
i. The Booking Organiser should confirm in advance with the Bureau if any Guest/s is disabled/have any special requirements. This will assist the College in making any individual arrangements in respect of access to/egress from the College buildings and the provision of necessary facilities and services.
ii. The Bureau will inform the fire marshals at the College building of any expected Guest/s with a disability. It is the responsibility of the Booking Organiser to nominate a “buddy” within their group who can assist anyone who requires help to get to either the assembly point or the nearest refuge (where these are provided); where the Booking Organiser is the sole Guest she/he must discuss any special requirements with the Bureau in advance of the accommodation booking/event.
iii. The ratio of able-bodied persons to Guests with a disability is dependant on their specific requirements however a ratio of 1:1 should be used as a basic requirement. If a refuge (where provided) is used, the buddy must inform either the evacuation controller or security on site of the location of the Guest so that they may identify the appropriate assistance required.
iv. With the exception of a trained guide dog for which written authorisation has been obtained in advance from the Bureau, Guests may not bring to/keep any animal in the College buildings or grounds.
 
5. Non Assignment
i. The licence to use College premises in accordance with the booking details is personal to the relevant Guest and may not be assigned, sub-licensed, charged or otherwise dealt with to another Individual.
ii. On arrival at the residence all Guests are required under the Immigration (Hotel Records) Order 1972 to provide photo ID for example their passport (non UK guests) and complete a registration form which will be retained by the College for 12 months.
6. Use and Care of College Premises
i. The College’s rooms and additional facilities and services may only be used for the purpose(s) for which they are hired and not for any other purpose whatsoever, including any illegal, hazardous or immoral purposes.
ii. Smoking is not permitted in any internal areas of the College buildings. Smoking in the College grounds is not permitted except in areas at some locations which are designated for this purpose. Guests are asked to refrain from smoking outside main entrance doors/thoroughfares.
iii. Guests are responsible for any wilful or negligent loss and/or damage to College furniture and equipment. The furniture and equipment has been inventoried and may not be transferred from one room to another, or exchanged between rooms.
Furniture and equipment in communal areas must not be removed from these areas without permission. 
 
7. Conduct
i. Guests must conduct themselves in a responsible manner with due consideration to any other Guests member of College staff or their agents, or members of the public and must refrain from any behaviour which would bring the College into disrepute or cause discomfort/risk to others. The College is a busy working environment with teaching, learning and research taking place on a year round basis and all Guests are asked to respect this.
ii. Guests are reminded that they are expected to observe all appropriate provisions and obligations of the College policy statements including those relating to harassment, equal opportunities, health and safety, drugs, smoking, information technology etc which are available at www.kcl.ac.uk/college/policy zone or on request from the Bureau.
iii. Breach of house rules may result in Guest/s being asked to leave the accommodation at the discretion of the Residence Management.
 
8. Complaints and Disputes
i. In the first instance any problems or complaints relating to any room or additional facilities and services or these terms and conditions should be referred to the Bureau or the relevant member of staff at the Residence. Such referrals may be made verbally or in writing via letter/email/fax; in the event of an oral complaint it will usually be a requirement that the Guest/s make a formal written report prior to any formal investigation. A form may be obtained from Residence reception. Complaints and disputes will normally be investigated locally or referred to the appropriate College Officer for further enquiry
ii. If the complaint or dispute can not be resolved locally, the Guest may make a request in writing/email/fax for a review of their complaint within 5 working days of a decision.
 
9. Third Party Rights
i. None of the terms of any residential booking in respect of College rooms and/or additional facilities or services shall be enforceable solely by virtue of the Contracts (Rights of Third Parties) Act 1999 by any person other than the booking organiser.
ii. The booking organiser has an obligation to tell the Guests about the terms and to give them details and to ensure that they comply with them. It is a condition of the booking that the booking organiser accepts the terms and conditions of the booking and has made all Guests who are party to the booking aware of these terms and conditions. Each Guest must individually agree to comply with the terms and conditions and the College will enforce the terms and conditions against them individually where relevant.
 
Important Notice
The College has taken all reasonable steps to ensure that all printed information available to booking organisers/Guests including these house rules of booking, is accurate and up-to-date. However, the College cannot guarantee that the rooms and/or additional facilities and services described in its literature will necessarily be available. The College may be obliged or in its reasonable opinion wish to vary or withdraw any of the rooms and/or additional facilities and services described and wherever possible booking organisers/Guests will be sent advance notification of any significant changes.
