Job description

The Research Support Officer (x2) is a new role within the Institute of Psychiatry, Psychology and Neuroscience (IoPPN) following a reshaping of Professional Services (PS). Both posts will be based within the School of Mental Health and Psychological Sciences (MHaPS). Post #1 will primarily provide research administration support to the Departments of Psychology and Biostatistics & Health Informatics (BHI) and post #2 will primarily provide research administration support to the Departments of Health Services & Population Research (HSPR) and Social Genetics & Developmental Psychiatry (SGDP). The post holders will be required to support other Departments as required.   

The role holders will work closely with researchers to support the grant lifecycle, primarily working across post-award, and will be responsible for the day-to-day administration of awards.

The role would suite someone who is able to effectively manage competing priorities, has good attention to detail and is able to build and maintain effective working relationships across the School, Faculty and University.

The role will provide individuals with a wide variety of experience and skills working across research administration in a large and complex School and Faculty, supporting the individual to progress their career within research administration across the University.  

Both posts will be offered on full-time, indefinite contracts.

Key responsibilities

  • Operational support for pre- and post-award activities.   
  • Support local recruitment processes across the School and Departments for research funded staff in collaboration with the HR recruitment team.  
  • Process contract variations including contract extensions, end of fixed term contracts, resignations.  
  • Supporting research staff with day-to-day procurement queries for goods and services in line with university and funder guidelines.  
  • Signpost research staff to relevant financial and procurement policies and practices.  
  • Support financial transactions for research funds; processing journal transfer requests, internal invoices, and recharges.  
  • Collate and ensure accurate completion of research timesheets.  
  • Support reporting to Principal Investigators.  
  • Monitor the completion of ResearchFish.  

General Duties

  • Keep up to date with relevant training, policies, and processes.  
  • Support general business of the School and Departments as required.  
  • Support and minute relevant School committees as required.
  • Identify, implement, and continuously review data and processes to ensure delivery of responsibilities.
  • Establish strong working relationships across the School, Faculty and Research Management and Innovation Directorate (RMID).
  • Work autonomously and collaboratively across the School’s PS research support team.
  • Actively contribute to relevant School and Faculty committees, meetings and networks as required.
  • Facilitate an inclusive culture and ethos working across the IoPPN community.
  • Undertake at least one safety role (e.g., fire marshal, DSE assessor, safety representative) as required, following all the relevant training.
  • Spend up to 15% of time contributing to cross Faculty / University initiatives and professional development (in discussion with line manager).

Skills, knowledge, and experience 

Essential criteria  

1.      Demonstrable knowledge and skills of research support acquired through previous roles.  

2.       Good numeracy and experience of financial transactions and tracking using financial software.

3.       Knowledge and experience of HR processes, software and regulations.

4.      Experience of using Worktribe, Unit 4 Business World and PeopleXD or other university equivalents.

5.      Experience of using Excel and Word.

6.      Good communication and interpersonal skills in order to receive, understand and relay day-to-day operational ideas or information to various groups.

7.      Able to work independently, and as part of a team to contribute to broader team’s goals and objectives.  

8.      Good organisation and time management skills, with ability to organise workload and manage competing priorities.

9.      Good accuracy and attention to detail, with ability to follow and adapt to new procedures and processes.

Desirable criteria

1.       Experience of working within the Higher Education or research sectors.
