We are based within the Student Administration Services Department, who undertake the administration of the student lifecycle including Welcome, Enrolment & Registration, Visa Support & Guidance, Student Records, Graduation, and International Student Welcome. We work to ensure all students who study at King's receive a world-class student experience by aligning support for students through their educational journey with the academic cycle of events throughout the year.
This role sits within the Student Lifecycle Events & Engagement team which delivers on a range of projects and events aimed at enhancing the student experience at both Graduation and Welcome to King’s. Welcome to King’s aims to give a high quality and inclusive first experience for all incoming students. Graduation is a key programme of work that supports students to successfully transition to their next chapter.
We are part of the Students & Education Directorate, a collection of wide-ranging professional services in place to support King’s students and their education. As a directorate we manage the student lifecycle from application to graduation and beyond, to ensure a coherent and seamless student experience and effective administrative processes, working closely with King’s faculties to do so.
About The Role
Each year, around 12,000 students attend a graduation ceremony, while Welcome to King’s supports over 16,000 students joining King’s College London. The post holder will assist in the preparation, organisation and administration of these important university events, and aim to provide a high-quality experience for all our staff and students.
Working collaboratively with services and faculties across the institution, the post holder will provide quality customer service for stakeholders, responding to enquiries effectively and appropriately and continually seeking opportunities to enhance the student experience.
This is an exciting opportunity for candidates looking to support student engagement, and who wishes to utilise their skills and expertise in planning large scale events and stakeholder management. We aim to deliver high-quality, market leading events that the University can be proud of, and which provide a brilliant experience for our students.
In conjunction with the Student Lifecycle Events & Engagement Managers, the Student Lifecycle Events and Engagement Senior Officers, the other Student Lifecycle Events & Engagement Officer and any other team members or support staff, the role holder will heavily support on the organisation and delivery of Welcome to King’s in September 2025. The role holder will also support where possible on the organisation and delivery of graduation ceremonies, held at the Royal Festival Hall and Southwark Cathedral in July.
We encourage applications from candidates who have experience from both within and outside of the Higher Education sector where they can demonstrate the skills needed to succeed in this role. Experience of working in events is desirable, though not essential, and a keen eye for detail and an understanding of the logistical requirements of event management would be beneficial.

We offer a flexible working structure (core hours between 10am – 4pm), with a mixture of remote working and together as a team in our central London offices. During peak periods (June - September) additional days in the office will be required as standard.
Please be prepared to work flexibly during delivery times and note that some events and activities take place outside of normal working hours on evenings and weekends and/or require early start times.
This is a full time (35 hours per week), and you will be offered a fixed term contract expected to start in April 2025 and run until October 2025.

About You
To be successful in this role, we are looking for candidates to have the following skills and experience:
Essential Criteria
- Relevant work experience and/or education and/or demonstrable interest: We think a wide range of different work, educational experiences and interests could support you to be successful in this role. Relevant work experience might include work in events coordination, or managing stakeholders. Relevant educational experiences might include higher education in a related discipline, professional qualifications or other training. Skills & Experience
- Experience of working in a busy customer service/events environment
- Ability to collaborate well with others and to use initiative and creativity to resolve problems
- Strong organisational skills and the ability to prioritise effectively to successfully manage competing deadlines with a high level of attention to detail and accuracy
- Ability to communicate with students and staff with excellent interpersonal, communication and presentation skills
- Ability to decide own pattern of work and manage own workload and resources
- Prepared to work outside standard working hours and at weekend/evenings on occasion
Desirable criteria
- Ability to develop networks and good working relationships with stakeholders across the institution and externally
- Experience of managing temporary staff or student ambassadors
- Knowledge of and enthusiasm for Higher Education and improving the student experience for a wide range of student groups.
