About the role:

The Institute of Psychiatry, Psychology & Neuroscience is looking for a proactive and organised individual to join us as the Placements and Electives Administrator within the Education Support Team. The Placements and Electives Administrator is a key role, as the post holder will be the initial point of contact for elective applicants and for students, staff and external enquiries relating to clinical placements for students on IoPPN programmes. The post holder will regularly liaise with colleagues in various departments in order to provide an excellent student focused service.

Although experience of Administration in Higher Education may be beneficial it is not a requirement as meeting the essential criteria for the role, transferable skills and the right attitude are key. The successful applicant will join a well-established high performing team and will have an excellent opportunity to develop a career in Higher Education administration. Appropriate training, support and development will be provided to ensure delivery of a ‘Gold Standard’ student experience.  

The postholder will act as the first point of contact for students, professional services, and academic staff, responding to queries relating to placements and electives. This involves communicating information clearly and effectively, using judgement to determine when matters should be escalated or referred to other colleagues.

They will provide comprehensive administrative support to students undertaking clinical placements, working closely with key stakeholders such as the Occupational Health Team and Programme Administration. This includes ensuring that all required processes and procedures are followed accurately and that deadlines are consistently met.

The role requires careful oversight of placement-related processes, ensuring activities such as Occupational Health approvals, DBS clearances, and the issuing of placement clearance letters are completed within required timeframes. Responsibilities also include maintaining accurate and up-to-date records, ensuring procedural documentation is current, and keeping relevant webpages and e-learning content (e.g. KEATS) up to date.

The postholder will also contribute to the wider educational activities of the team, including supporting and servicing committee meetings where required. In addition, they will provide flexible administrative support across the team, contributing to activities such as annual reporting, feedback collection, accreditation documentation, programme reviews, and admissions-related reporting.

Working independently, the postholder will be expected to manage their own workload and resources effectively in order to meet competing deadlines and objectives. They will also undertake any other duties appropriate to the grade of the role as assigned by the Programme Manager or their nominee.

This is a full time post (35 hours per week), and you will be offered a fixed 6 month contract from September 2026.

To be successful in this role, we are looking for candidates to have the following skills and experience:

Essential criteria

  1. Excellent written and oral communication skills including the ability to draft documents and correspondence
  2. Excellent organisation and time management skills
  3. Strong numeracy skills and ability to analyse complex numerical data
  4. Excellent working knowledge of Microsoft Office packages and the ability to work on new systems
  5. Methodical, detail oriented and flexible approach to work, maintaining a high level of accuracy
  6. Ability to work with a broad range of stakeholders in a professional and assured manner
  7. Proactive with the ability to work independently as well as delivering within a team
  8. Flexible and comfortable with adapting to change

Desirable criteria

  1. Experience in the use of databases and student records systems (such as SITS)
  2. Experience of the Disclosure Barring Service (DBS)
  3. Experience of using virtual learning environments
