King’s Venues is the central events support service that helps bring events at King’s to life. The team works with a wide range of internal and external clients, such as faculties, departments, students, and external organisations, to plan and deliver events from start to finish. They coordinate every aspect, including catering, AV, room setup, security, and virtual or hybrid delivery, acting as the key link between clients and service providers. Operating across multiple campuses, King’s Venues ensures events run smoothly and meet client requirements through efficient organisation, clear communication, and expert oversight.

Operating across multiple campuses, King’s Venues ensures events run smoothly and meet client requirements through efficient organisation, clear communication, and expert oversight.
To assist Faculties, Departments, Students and external clients realise their event requirements and to communicate these to our service providers to deliver the clients requirements. Working with a diverse client base of both internal and external clients, you will assist in coordinating all aspects of their event including catering, AV, room set up, security, Virtual and online events etc and liaising with service providers across our 5 campuses to ensure that the event runs smoothly, and all aspects are delivered.
• To coordinate events across all campuses in line with the standard operating procedures.
• To engage with internal and external clients and assess their event requirements making recommendations as required.
• Provide a detailed summary to clients and service providers of the event requirements in a timely manner and in a format that is easy to follow.
• Manage general administrative tasks such as the King's Venues inbox, weekly and monthly reports.
• Attend events as required to ensure that service levels from set up to execution are as requested.
• Assist in providing quantitative feedback on events carried out on campus.
• Respond promptly and accurately to clients’ requests for information.
• Attend event forward planning meetings with campus service providers.
• Develop and maintain successful business relationships with clients and service providers.
• Support core College activities across the college.

This is a full-time post (35 hours per week), and you will be offered an a fixed term contract until 18/12/2026
About you
To be successful in this role, we are looking for candidates to have the following skills and experience:
Essential criteria
- Proven organisational skills with the ability to manage multiple tasks/events simultaneously.
- Strong communication skills, with the ability to engage effectively with internal and external clients.
- Experience in event coordination or a similar customer-focused role.
- Ability to interpret client requirements and translate them into clear plans or actions.
- Strong administrative skills, including inbox management and report preparation.
- Ability to work both independently and collaboratively within a team.
- Excellent attention to detail with a commitment to delivering high-quality service.
- Flexibility to attend events outside of standard working hours as required.
