About us:

This is an exciting opportunity to join the HR operations team at King’s College London. We are seeking to appoint an experienced and highly motivated HR Operation Advisor. Working in a proactive and advisory space, supporting manager and our staff with their employment and contractual changes.

About the role:

You will have the opportunity to utilise your stakeholder management skills and spend time building relationships and working with managers to help support contractual changes and employment processes such as manager requests, family friendly policies and sickness.

Key responsibilities

  • To take responsibility and deal with complex queries for the end-to-end HR administration process ensuring that employees and managers always receive a standout service, and that all documentation and correspondence is accurate and presentable for a specific Faculty/Department.
  • Support, complete maternity, shared parental leave (SPL) requests and family friendly queries with individual meetings interpreting policies with advice and guidance.
  • Support the sickness process, ensuring data is entered correctly, employees are advised of pay triggers
  • To work with Managers relating to Manager Requests, providing advice and guidance on the use of manager requests and queries that arise with the submission of requests including leavers and fixed term contract expiry/extension or conversion to indefinite contracts
  • Resolve complex employee pay record changes or corrections throughout the employee lifecycle working closely with other HR and Payroll teams and wider stakeholders for specific Faculty/Department.  Liaising with departmental contacts, Business HR Partners, and Payroll to ensure excellent customer service.
  • Lifecycle changes may include absence types of sickness, unpaid and family friendly absence policies.  Allowances, increments (including Clinical), fixed term end dates.  Calculations of redundancy, annual leave payments and strike.
  • To check drafts and issue template contractual correspondence to staff following employee lifecycle changes ensuring correspondence is stored appropriately on HR files/systems.
  • Help coach and supervise Operations Coordinators within the team.

The successful applicant will use their HR and employment knowledge to advice managers and employees to ensure successful implementation of contractual changes.

This is a full time (35 hours per week), and you will be offered an indefinite contract.

About you:

To be successful in this role, we are looking for candidates to have the following skills and experience:

Essential criteria

  1. Existing knowledge of policies and procedures, including family friendly policies, sickness and fixed term contracts
  2. Strong customer service experience
  3. Strong attention to detail, low error rates and the ability to work to deadlines
  4. Experience working independently with limited supervision, including experience in prioritising and working under pressure to tight deadlines
  5. Strong Microsoft Office skills, particularly Outlook, Word and Excel
  6. Experience and ability to run high volume employment administration liaising with the employee and manager
  7. Previous experience as a HR /Payroll coordinator, advisor or consultant
  8. Experience with process improvement initiatives

Desirable criteria

  1. Knowledge of HEI or Clinical HR best practice with either Academic or Clinical policies
  2. HR systems/data bases
  3. CIPD Qualified
  4. Experience using a HR ticketing system
