Professional Services Staff

Working alongside our academic staff is a dedicated team of Professional Services staff, who support departmental education and research activities. 

The Professional Services Team are located in the Mathematics Department Office, S5.17, Strand Building (Strand Campus). 

The Department Office is open as detailed below (excluding public holidays and closure days):

Caroline provides administrative support in respect of departmental research activities and research events in the department:

  • Provides pre- and post-grant/award administrative support and guidance;
  • Provides support and guidance to academic colleagues in respect of research activities, including for example, HEFCE’s Open Access Policy, King’s Research Portal (PURE), financial regulations etc.
  • Supports the Head of Department and Head of Research with requirements for REF 2021;
  • Supports the delivery of internal research events and supports academic colleagues to attend external research events;
  • co-ordinates research news and events information and liaises with Faculty external relations on a regular basis;
  • reviews, maintains and updates departmental Research webpages, liaising with colleagues as appropriate;
  • acts as the key administrative link between the Department, Faculty and Institutional services teams regarding research administration.

Frances co-ordinates departmental activity that is not related to programme or student administration, working with academic staff in the department to ensure the smooth running of the department, particularly in relation to finances and budgets, space planning and facilities and HR procedures:

  • Manages the department's finances on a day-to-day basis, including post-award grant management
  • Manages and authorises purchasing and procurement for the department as required
  • Responsible for arranging contracts for temporary teaching staff
  • Responsible for HR matters in the department including recruitment, academic staff probation, appraisals, promotion and induction of new staff
  • Responsible for recruiting PhD students as teaching assistants, setting them up as casual workers and processing payments
  • Manages departmental space planning for the department
  • Secretary to the departmental staff meetings
  • Responsible for the content and production of departmental staff handbooks
  • Responsible for the administration of Erasmus bilateral contracts
  • Line-manages the Departmental Officers

The Programme Administrator is the primary point of contact for all queries relating to undergraduate programmes in the Department of Mathematics, including:

  • Responsible for producing the UG student handbook
  • Maintenance of UG students’ departmental records
  • Co-ordination of induction for new UG students
  • Secretary to the UG Staff/Student Liaison Committee
  • Administration of UG examinations
  • Secretary to the UG Programme Examination Board
  • Co-ordinating careers events for current UG students
  • Maintaining UG student-facing web pages
  • Co-ordinating UG student feedback
  • Supporting the implementation of innovations in the UG Mathematics programmes

The Senior Programmes Administrator supports the Programmes Manager with all teaching and learning administration, assisting with the Department Education Committee.  They also line manage the team of programme administrators.  This includes:

  • Implementation and dissemination of local processes and procedures, and teaching and learning initiatives.
  • Deputising for the Programmes Manager.

The Programmes Manager is responsible for the day-to-day delivery and long-term development of administrative support for undergraduate, postgraduate taught and research programmes for the Departments of Mathematics. This includes:

  • Leading and managing the programme administration team
  • Responsibility for the administration and co-ordination of all programmes and modules offered by the Department, for example, induction, timetabling and maintenance of all programme and module documentation
  • Overseeing the management of all undergraduate and postgraduate taught examinations matters, for example, preparation of exam papers, timetabling and Examination Boards
  • Supporting all quality assurance-related matters, including module and programme approval, accreditation and providing advice to staff on College regulations
  • Servicing the Departmental Education Committee
  • Supporting the enhancement of student feedback mechanisms, for example online module feedback and Staff Student Liaison Committees (SSLCs)
  • Leading on the implementation of innovations to improve the student experience, including supporting staff with teaching and learning bids and managing teaching and learning-related projects.

Jonathan supports the day-to-day administration of the Department of Mathematics, including finance, facilities, space, HR, equipment and room-bookings, with responsibility for:

  • Departmental purchasing and ordering stationery
  • Departmental finances for Mathematics
  • Ad-hoc room bookings for departmental & centrally timetabled rooms (excluding room bookings for events, which Tali Jones deals with)
  • Arrangements for visitors
  • Adding new Mathematics staff to the departmental accounts database and website
  • Departmental equipment-booking systems
  • Supports the Senior Departmental Coordinator in departmental HR duties, such as interview organisation
  • Receives calls and organises meetings on behalf of the Head of Department (Mathematics)
  • Deputises for the Senior Departmental Coordinator as committee secretary in departmental meetings
  • Supports the Senior Departmental Coordinator in managing departmental space and facilities.

Mona is the primary point of contact for all queries relating to postgraduate programmes (excluding MSc Financial Mathematics) in the Department of Mathematics, including:

  • Overall responsibility for production of the PGT and PGR handbooks
  • Maintenance of PG students’ departmental records
  • Oversees module related projects
  • Co-ordination of induction for new PG students
  • Secretary to the PG Staff/Student Liaison Committee (PG SSLC)
  • Administration of examinations
  • Secretary to the PG Programme Examination Boards
  • Monitoring PhD progress and completion of key stages
  • Administration of department based PhD funding
  • Maintenance of PGT and PGR mailing lists

Laura is responsible for the leadership and management of department operations to ensure a high quality, professional administrative service and the efficient day-to-day running of the Department of Mathematics.  She is a member, ex officio, of all departmental committees to ensure standardisation of information. Her role includes:

Working closely with the Director of Faculty Administration, Head of Department and departmental professional services staff to agree and implement standards for departmental and programme administration

  • Ensuring administrative support for all departmental activities
  • Leading, managing and developing the Mathematics professional services team
  • Developing strategies and initiatives to improve support to Head of Department, academic staff and students
  • Ensuring a robust department level infrastructure for teaching and research
  • Ensuring the effective running of operations in conjunction with central offices including Registry Services, The Compass, the Study Abroad Office and the Admissions Centre
  • Providing advice and assistance to ensure effective completion and compliance with regulations and policy.
