Data Protection Statement

 

Why have I been directed to this webpage?

The information published on this page is intended to supplement the specific information that you have already been given in connection with your engagement with a particular service, facility, event or initiative run by the Widening Participation Department. You may have been directed here, for example, because you are applying for one of our programmes or because you have signed up to attend an event aimed at prospective students.

Why do we collect data from students taking part in widening participation activities? 

King’s College London runs a range of widening participation activities with schools, colleges and communities across London and the UK, to support fair access and widen participation into higher education. This is part of our commitment as a university to attract and nurture talent regardless of background, as well as a statutory requirement to report on how effective our widening participation programmes via Access Agreements that are submitted to the Office for Students (OfS).

Collecting data from students is a crucial part of the evaluation process to assess the value and effectiveness of the activities we offer. We collect details of individuals taking part in our activities for the following reasons:

  • To plan and produce activities that are fit for purpose
  • To ensure that we are working with and targeting the right types of students
  • To monitor participation and ensure a we can offer contextualised admissions
  • To evaluate and report on the effectiveness and impact of our widening participation work.

Under data protection law we have a legitimate interest to process this data and ensure our work is fir for purpose.

 

What personal data do we collect for individuals taking part in our outreach activities?

We collect the following data from individuals either directly, or via schools and colleges for evaluation and research purposes:

Full Name

Looked after child/ Care leaver status

Date of Birth

Young Carer status

Postcode

Estranged status

School/College name

1st generation of HE

Gender

Pupil premium/free school meals

Ethnicity

Other equal opportunity monitoring information where appropriate

Disability status

 

How do we use your data and how do we keep it secure?

The privacy of students is important to us and the University takes care to safeguard it. Information will be used and stored in accordance with data protection laws and other applicable legislation.

Student data will be stored on secure databases including the Higher Education Access Tracker (HEAT) and used to administer participation in outreach activities and projects.  For research and monitoring purposes only, this data may also be shared back with your school or college, with government and funding bodies and with our collaborative partners to help evaluate the effectiveness of this activity.  The project and its partners will not use your record in a way that would affect you individually and we will not release data to anyone who is unauthorised. 

We will retain records securely for the duration of the longitudinal project, and will review our retention periods annually as the project develops in line with ICO guidance and other best practice in the sector.

 

Your rights

The data collected will be processed by King’s College London in accordance with data protection law, you have the right to a copy of the data held about you by us. You also have the right to opt out at any time, please contact outreach@kcl.ac.uk to do this.
