THIS VACANCY IS OPEN TO INTERNAL APPLICANTS ONLY

The Operations & Events Officer will support operations in the Centre for Science and Security Studies, which is part of the Department of War Studies. They will work alongside the Centre Operations manager supporting the day-to-day operations of the Centre, with a strong focus on events management.

The postholder will be assisting the research team with the organization of a series of international workshops on behalf of a wide range of funders, ensuring a high level of service. They will be expected to contribute to the improvement of systems and processes for operating effectively within a busy Centre, this includes financial processing and administration and supporting the HR processes.

This role is varied and will provide the opportunity to develop a wide range of experience and skills. It would suit someone who is passionate, hardworking, and dedicated. The suitable candidate must demonstrate an ability to work flexibly, take their own initiative, work autonomously, have a hands-on attitude as well as excellent teamwork, They must also have communication and social skills in order to liaise effectively with colleagues, partners and external organisations.

The postholder will be required to occasionally work on weekends and evenings and attend workshops in the UK and abroad.

This is a hybrid role based at our Strand Campus.

This post will be offered on a secondment basis until May 2025, with the approval of your current department.

This is a full-time post - 100% full time equivalent

Key responsibilities

  • To play a key role in the administration and operational support of the Centre for Science & Security Studies, specifically focused on supporting the research teams across a range of programmes within the Centre, as required
  • Managing the coordination of all logistical aspects for the running of professional development courses, national and international workshops, meetings and conferences across various funded projects and other Centre-related events
  • To support the Operations Manager(s), Director and project leads, as necessary, on the broad range of business support functions, including setting up and maintaining processes and procedures, financial reporting, budget monitoring and general administration
  • To engage and support communications activities to bring greater awareness of the various activities within the Centre through social media and other marketing channels (e.g. newsletter).

The above list of responsibilities may not be exhaustive, and the post holder will be required to undertake such tasks and responsibilities as may reasonably be expected within the scope and grading of the post.

Skills, knowledge, and experience

Essential criteria

  1. Excellent working knowledge and familiarisation with the HE policies and procedures including financial regulations
  2. Proven ability to manage and coordinate logistically complex activities and liaise effectively with a range of key stakeholders, both national and international
  3. Demonstrable experience of managing a complex, multi-national event or programme
  4. Highly proficient IT skills (databases, Excel, Word, PowerPoint) and good level of numeracy
  5. Good oral and written communication skills with an ability to engage effectively with a range of stakeholders, both internally and externally
  6. Ability to work independently, proactively, and flexibly, using own judgement, initiative, and discretion with minimum supervision
  7. Demonstrable organisational and time management skills with a high degree of attention to detail
  8. Ability to work as part of a team to support and cover for colleagues and show best practice
  9. Proven ability in managing budgets and the provision of budget monitoring information

Desirable criteria

  1. Experience of developing eLearning courses
  2. Experience of developing and maintaining excellent effective working relationships with a wide range of international partners and affiliates.
