About Us

The Faculty of Life Sciences & Medicine is seeking a Senior Business Operations Officer. This role sits within the Faculty Education Services in Faculty of Life Sciences & Medicine (FoLSM) at  Guy’s Campus located at London Bridge campus. The Faculty of Life Sciences & Medicine delivers and awards a range of professional, statutory and regulatory body (PSRB) programmes, including the medical undergraduate degree programme (MBBS). An important aspect of the learning on these programme is based on practical experience in the work place.  The post of Senior Business Operations Officer is part of a team that is responsible for providing effective finance operations across the Faculty’s education services and delivery.   The role is based within Faculty Education Services (FES) which coordinates all aspects of programme and student administration for more than 100 undergraduate and postgraduate programmes and supports over 7000 students.

Within FES, the Quality Assurance (QA) team manage and coordinate the adherence of all programmes to both College and professional regulatory and compliance requirements. This work includes the allocation and administration of Clinical and Medical Education Tariff for NHS Trusts and private organisations providing placements for students completing PSRB programmes.

About the role

The Senior Business Operations Officer will support effective finance operations across the Faculty’s education services and delivery. The post holder will work with academic and professional service staff to support the administration of funding across placement activity for PSRB programmes.

The main purpose of this role is to ensure timely and accurate payments to placement providers in a range of education and training settings, including NHS Trusts and private organisations. This includes supporting reconciliation and reporting across financial activity, supporting external returns to stakeholders (e.g. NHS England) and managing related payment processes, datasets and audit ready documentation. The post holder will also be required to support finance administration for some additional aspects of educational delivery across Faculty Education Services (e.g. overseas funding scholarships).

The post holder will generally use standard processes to complete tasks and will actively engage with ongoing process improvements to the flow of funding and to enable monitoring. They will develop a level of expertise in the relevant procedures and an understanding of local needs. They work independently, using their own initiative and judgement in problem solving and risk identification. The post holder will be able to complete some analysis of metrics to inform their priorities and to understand the flow of business. Using their knowledge and expertise, the post holder is expected to make timely and considered decisions, discussing and escalating more complicated matters that have a wide impact.

The post may be expected to manage staff (where relevant), projects and resources and deputise for their manager, working to put in place ongoing business continuity and service resilience.

The post holder is required to understand and work in line with expected standards and relevant university and external regulations.

The post would suit someone who is proactive in delivering and coordinating a range of activities and is able to work independently, effectively managing competing priorities and has a good attention to detail. They will be a problem solver and an advocate for process improvement and innovation. They must also be able to build and maintain effective working relationships across the Department, wider Faculty and central teams and external partners to facilitate operational delivery and planning, and be committed to principles of culture, equality, diversity, and inclusion and supporting cultural change. 

This is a full time post (35 hours per week), and you will be offered an indefinite contract.

About You

To be successful in this role, we are looking for candidates to have the following skills and experience:

Essential criteria

  1. Bachelor or equivalent degree in a relevant subject or equivalent relevant operational work experience with specialist training/ qualification
  2. Proficient IT skills – in particular Microsoft Office applications, including advanced Excel skills, knowledge of Word, PowerPoint, SharePoint, MS Forms & Power BI reporting - and experience of using digital technology including databases in day-to-day work
  3. Excellent numeracy skills and the ability to manipulate and present data in an accessible format which will inform decision making
  4. Experience of financial processes and systems (e.g., Business World)
  5. Experience of process improvement that has made an impact, using a systematic approach to assess the impact of a proposed change (including identifying risk and opportunities) to assess its viability
  6. Excellent task management and analysis skills and ability to work under pressure in a busy environment with a record of delivering on time, within budget and with a high standard of accuracy 
  7. Proven good communication, comprehension and interpersonal skills in order to receive, understand and relay information (in writing & verbally) of varying complexity to various groups 
  8. Proactive and able to work independently and as a team to meet deadlines across competing priorities and provide solutions to challenges

Desirable criteria

  1. Experience of working in Higher Education and/or NHS  
  2. Experience of student records systems (e.g. SITS)
  3. Evidence of an active commitment to ongoing professional development and achievement
