Health & Safety Services are a small, dedicated team of health and safety professionals with a university-wide remit.
King's is dedicated to a healthy, safe, and supportive environment for education, research, and service. Health & Safety Services acts as the ”competent person“ for occupational health and safety at King’s. We provide advice and assurance to King‘s senior management with regards to the university’s health and safety policy and supporting management arrangements, including fire safety.
Additionally, we provide support and advice to all areas and levels of the university and support local health and safety role-holders and managers empowering them to proactively identify, manage and control their foreseeable, work related, occupational health and safety risks. We manage a number of specialist contracts on behalf of the university relating to occupational health and safety, and work with IT colleagues (via the SAFe Agile framework) to procure and develop software systems and processes used to facilitate health and safety risk management and compliance.
Due to the nature of our work we strongly encourage and support continuing professional development within the team relevant to the role.
About the role:
The Business Support role has become vacant within King’s Health & Safety Services (H&SS). The role provides business support to the Directorate and executive assistance to the Director and Deputy.
We are looking for a professional, personable and highly engaged individual with experience in the business support function at King’s. The role holder will bring energy, ideas and a systematic approach to their work. You will be confident in your use of MS Office apps, PowerBI and SharePoint and willing to learn and develop yourself to meet the needs of the team. You will be comfortable with handling and reviewing data and have experience of finance and procurement processes, and budget planning.
You will be highly self-motivated, take ownership of the role and be able and willing to collaborate with colleagues to identify areas for improvement without significant oversight. The role holder will be willing to embrace change and participate in the process of shaping that change.
H&SS supports a hybrid approach to working in line with business needs.
The expectation for this role is a minimum of 40% on site presence (2 days per week). The primary location is Lavington Street, with occasional travel to other King’s sites.
About you:
To be successful in this role, we are looking for candidates to have the following skills and experience:
Essential criteria
1. Relevant experience of finance and procurement processes and systems with ability to actively monitor and report on budget status.
2. Proven ability to thrive in a busy, varied and dynamic work environment, with the ability to foresee and proactively act on issues and challenges looking for connections and for opportunities to simplify.
3. Ability to make effective independent decisions: looking at the evidence in a systematic manner and identifying opportunities for improvement.
4. Responsive, proactive and collaborative service approach. Able to work without significant oversight as a key member of a small busy Directorate. Skilled at building positive relationships with key contacts in other areas of King’s to maximise the effectiveness of the role.
5. Willingness and proven ability to commit to acquiring new skills and knowledge to benefit yourself and the team.
6. Ability to communicate clearly and effectively in the written word, in person and on the telephone. Strong interpersonal skills: interacting appropriately with colleagues at all levels, employing empathy and understanding the needs of the recipient.
7. Highly numerate and IT literate with the ability to use, with creativity and confidence, the standard suite of office software, together with knowledge of one or more corporate Finance systems.
Desirable criteria
1. Previous experience in an administrative and/or executive support role in a higher education or similar type of environment
2. Experience of drafting process maps and workflows and PowerBI
3. Experience of project management
