King’s College London’s Directorate of Estates & Facilities is responsible for managing and developing the university’s diverse estate across five central London campuses, sport grounds and residences. With more than 100 buildings ranging from historic 18th‑century landmarks to modern, purpose‑built facilities, the directorate ensures that King’s provides high‑quality, safe and accessible spaces for teaching, research, student life and community activity.
The FM Asset Management team identifies, understands, and manages building systems across the estate to develop integrated whole‑lifecycle replacement plans, embed decarbonisation, and oversee programmes at a strategic level to ensure resilience, compliance, and long‑term values.
About the role:
The Programme Coordinator will provide administrative and financial support to the Asset Management Programme Manager and Asset Teams. This role will focus on ensuring the efficient tracking of programme milestones, managing procurement and financial processes, and maintaining communication across all stakeholders.
The Programme Coordinator will be integral in compiling reports, tracking budgets, and managing timesheet data, while supporting the coordination of project activities and resolving any potential issues.
Part of the role is to ensure completion of all mandated Health & Safety training, including eLearning modules, within required timeframes to maintain compliance with statutory and organisational standards.

**Programme Coordination and Reporting: **
Assist in preparing and compiling accurate programme status reports, dashboards, and presentations, providing timely updates on milestones, deliverables, and timelines. Monitor programme progress to identify potential delays and report these to the Programme Manager.
**Financial Tracking and Procurement: **
Manage procurement processes by tracking expenses and ensuring timely and accurate processing of purchase orders and invoices. Support budget monitoring and financial reporting, ensuring the programme remains within budget and delivers planned benefits.
**Stakeholder Communication and Meeting Support: **
Organise and coordinate meetings and workshops, handling logistics, preparing agendas, documenting minutes, and following up on action items to ensure accountability. Serve as a liaison between the Programme Manager, project managers, Asset manager and clients, facilitating clear communication.
Risk and Issue Management:
Monitor programme-related issues and escalate critical matters to the Programme Manager for resolution. Support the identification of potential risks and assist in the implementation of corrective actions to maintain programme integrity.
**Data and Resource Management: **
Maintain accurate records in the Dovico timesheet system, ensuring up-to-date entries. Update on monitor Project Trackers provide early warning project and resources. Support the allocation of resources and skills across the programme’s projects, assisting in the coordination of both internal and external resources.

To be successful in this role, we are looking for candidates to have the following skills and experience:
Essential criteria
1. High standard of general education, English and Maths
2. High-level analytical and problem-solving skills to address challenges, and propose optimal solution
3. Excellent computer skills using Microsoft Office
4. Excellent communication skills, both oral and written, including an ability to write technical and non-technical reports
5. Ability to manage multiple tasks with attention to detail
6. Experience in administrative or coordination role, in an engineering, projects or facilities environment
Desirable criteria
1. Financial/budgetary experience
2. IOSH Managing Safely or equivalent
3. Knowledge of Microsoft SharePoint
4. Familiarity with working in higher education sector
