Measures to mitigate the impact of COVID-19 on your assessment

These are very unsettling and challenging time for everyone in our community. We hope that you and your loved ones are keeping safe and well.  Please continue to follow the official government advice where you are and refer to the guidance in our COVID-19 page

Whilst we have put arrangements in place to support your education in the coming weeks and throughout the extended assessment period, we realise that for some of you your academic performance may be impacted because of circumstances relating to COVID-19 and you may need to defer or request an extension.  Please note that if you have already contacted your faculty or department using a different form or process, your circumstances will be taken in consideration and there is no need to repeat the information here. Whilst you also have the option to interrupt your studies and take your assessments in the next academic year, this would be a big decision and it is recommended that you speak to your programme director or personal tutor first, to explore all possible ways to enable you to continue with your studies, and progress or graduate on time.  Please use this form if you wish to:

  • Request a deferral for one or more assessments
  • Request an extension to a coursework submission deadline
  • Provide information on reasons that have prevented you from completing one or more assessments and let us know whether you are seeking a Deferral or Extension
  • Provide information about any problems you had with your assessment

There is no need to submit additional evidence if your request relates to COVID-19.

Deferral

We strongly encourage you wherever possible to take assessments in period three, but understand that there may be a range of good reasons as to why you are unable to do so, or feel unprepared to do so.

Where this is the case, you have the option to defer some or all of your assessments to the next assessment opportunity.  If you know in advance that you have circumstances relating to COVID-19 that means you need to defer one or more assessments, or if you wish to defer all assessments to the next assessment opportunity, you should seek guidance and support from your department before submitting  this form, citing the reason for the request.  A deferral request should be made no later than 23 August 2020 (the day before the start of the assessment period), or the date advised by their faculty where assessment period timings are different. If you wish to defer assessments until the next assesssment period and you miss the deferral deadline of 23 August you must apply for a retrospective withdrawal using this form AND you must  ensure you complete column 4.

You will be asked on the form to provide details on the reason for the deferral request but, where COVID-19 related, no additional evidence is required.

Mitigating circumstances

You should use this form where you did not know in advance that you would be unable to take an assessment, and the deadline for deferral has already passed. You should also this form where you experience unexpected difficulty in undertaking or completing your assessments due to COVID-19-related issues. 

You will be asked on the form to provide details on the reason for your request but, where COVID-19 related, no additional evidence is required.

For all other circumstances, a guidance document and a set of FAQs are available.  Please read through the information provided here carefully and seek further guidance from your personal tutor, the assessments team or KCLSU Advice if you are unsure what to do.

The use of this simplified form and the removal of the need for evidence in the case of all Covid-19 related requests are temporary and the situation will be reviewed regularly. 

The university is currently working to improve efficiency around mitigating circumstances submissions and has collaborated with faculties to produce a new form in Student Records.  Some departments are now pilotiing the new form, as such, your department may contact you to provide more detail and ask you to visit Student Records to submit a mitigating circumstances request.  You can find guidance on how to complete the form in Student Records.
