Module & Teaching Evaluations (Information for Staff)

Logging in to Module Evaluation

Your login to the Module Evaluation System (EvaSys) and Evasys+ (formerly known as EvaMetrics) is your King's staff user number and password. 

In order for a member of Professional Services staff to get an EvaSys login, the key contact in their Faculty (see below) must send an email to IT Support giving the name and King's ID number of the staff member requiring access.  Academic staff do not require EvaSys access.

Generating Surveys for Taught in Class Modules

The College Education Committee agreed a standard set of questions to be asked about all taught modules (the agreed question set can be viewed on the Module Evaluation homepage).  All Faculties must send out their surveys for taught modules using these questions - by default, modules are 'attached' to a template survey containing them. 

For those modules that are not taught in class (i.e. modules taught in the lab, placement based modules, or dissertation/placement based modules), the template must be changed before surveys are generated, using the How to Change the Template Survey Sent Out via EvaSys guidance.

Once all modules  have been attached to the correct template, and any local amendments made to the text in the message sent out from EvaSys,  the How to Generate Surveys in EvaSys guidance document walks users through the set up and distribution of surveys to students.

Uploading Teaching Data
If Faculties are evaluating additional staff to the module leader, the following guidance has been written to show the steps that need to be taken to complete the upload of names: Uploading Teaching Data into EvaSys.

Updates to EvaSys

EvaSys data is populated by SITS.  Therefore, in order to change Module Leaders, the semester in which a module is running, and the students registered to a module, all updates must be made to SITS rather than EvaSys.  Updates to Module Leaders are carried out following standard King's procedures (i.e. a Module Modification Form submitted via OPAMA).  How to Change Module Details in OPAMA.

Academic's Guidance for EvaSys+
Module Leaders are required to issue a reflection on the results of their module evaluation.  The Module Leader's Guide to Using the Instructor Portal explains how to login to EvaSys+ (the system that hosts the Engagement Portal), and where to enter the response.  The reflection is sent by email to all students on the module, regardless of whether they completed the survey or not.  This email is generated by Professional Services staff.

Professional Services Guidance for EvaSys+
Once a Module Leader has written their reflection, the responsibility to release it lies with the 'Subunit Administrator' (i.e. the member of Professional Services staff who set up the surveys).  The Professional Services Guide to Using the Engagement Portal explains how to do this.

How are surveys issued to students?

Surveys are set up by professional services staff, and sent out via automated emails to students' King's email accounts.

What is EvaSys+ and how is it different from EvaSys?

EvaSys is the system used by professional services staff to set up and send out surveys.  EvaSys+ is used by academic staff to enable the tracking of response rates to ensure high participation. Once surveys go live, the Module Leader can track the response rates in real time for their modules.  EvaSys+ is also used to issue the Closing the Loop report.

What is the 'Closing the Loop' Report?

'Closing the Loop' is a report that enables the Module Leader to issue response to the feedback they have received to all students on their module. This response is sent by email, and gives students the chance to access a summary of the chosen quantitative module evaluation results.

When are surveys sent out and how long do they remain open?

Release dates and duration of surveys are decided at Faculty level.

How can we encourage students to complete module evaluation?

Allow 10 minutes towards end of the session and encourage students to complete Online “In-Class” evaluation.  As well as using the email sent out to students, surveys can be directly accessed via students' KEATS home pages.  Academics are encouraged to explain action plans or changes made based on previous evaluation feedback and create awareness among students of the importance of the Module Evaluation.
