Administrative Staff Profiles

 

Nicola Baker – Programmes Administrator (UG Mathematics) (Department of Mathematics)

Nicola is the primary point of contact for all queries relating to undergraduate programmes in the Department of Mathematics, including:

  • Responsible for producing the UG ‘How the System Works’ handbook for students and staff
  • Maintenance of UG students’ departmental records
  • Co-ordination of induction for new UG students
  • Secretary to the UG Staff/Student Liaison Committee
  • Administration of UG examinations
  • Secretary to the UG Programme Examination Board
  • Co-ordinating careers events for current UG students
  • Maintaining UG student-facing web pages
  • Co-ordinating UG student feedback
  • Supporting the implementation of innovations in the UG Mathematics programmes

 

Emily Balls – Web & Research Administrator (Departments of Informatics and Mathematics)

Emily supports the research activity and events in the departments, including marketing and publicity:

  • Development and maintenance of the externally facing websites for Mathematics and Informatics
  • Organises research-related events, seminars and conferences
  • Supports the Research Excellence Framework (REF) and research proposal & application process
  • Secretary to the departmental Research Committees
  • Secretary to the Information Strategy Group in the Department of Informatics

 

Frances Benton – Departmental Co-ordinator (Departments of Informatics and Mathematics)

Frances co-ordinates departmental activity that is not related to programme or student administration, working with academic staff in the departments to ensure the smooth running of the departments, particularly in relation to finances and budgets, space planning & facilities and HR procedures:

  • Manages the departments’ finances on a day-to-day basis, including post-award grant management
  • Manages and authorises purchasing and procurement for the departments as required
  • Responsible for arranging contracts for temporary teaching staff
  • Responsible for HR matters in the department including recruitment, academic staff probation, appraisals, promotion and induction of new staff
  • Responsible for recruiting PhD students as teaching assistants, setting them up as casual workers and processing payments
  • Manages departmental space planning for the departments
  • Secretary to the departmental staff meetings
  • Responsible for the content and production of departmental staff handbooks
  • Responsible for the administration of Erasmus bilateral contracts
  • Line-manages the Departmental Officer
 
Joanne Cooke – Programmes Administrator (PG Mathematics) (Department of Mathematics)

Joanne is the primary point of contact for all queries relating to postgraduate programmes in the Department of Mathematics, including:

  • Overall responsibility for production of the PGT and PGR handbooks
  • Maintenance of PG students’ departmental records
  • Oversees module related projects
  • Co-ordination of induction for new PG students
  • Secretary to the PG Staff/Student Liaison Committee (PG SSLC)
  • Administration of examinations
  • Secretary to the PG Programme Examination Boards
  • Monitoring PhD progress and completion of key stages
  • Administration of department based PhD funding
  • Maintenance of PGT and PGR mailing lists

 

Stephanie Green - Head of Departmental Administration (Departments of Informatics and Mathematics)

Stephanie is responsible for the leadership and management of department operations to ensure a high quality, professional administrative service and the efficient day-to-day running of the departments of Informatics and Mathematics.  She is a member, ex officio, of all departmental committees to ensure standardisation of information.  Her role includes:

 Working closely with the Head of School Administration, Heads of Department and departmental professional services staff to agree and implement standards for departmental and programme administration

  • Ensuring administrative support for all departmental activities
  • Leading, managing and developing the Informatics and Mathematics professional services team
  • Developing strategies and initiatives to improve support to Heads of Department, academic staff and students
  • Ensuring a robust department level infrastructure for teaching and research
  • Ensuring the effective running of operations in conjunction with central offices including the Assessments and Records Centre, The Compass, the Study Abroad Office and the Centre for Arts & Sciences Admissions.
  • Providing advice and assistance to ensure effective completion and compliance with regulations and policy
  • Supporting the organisation of departmental REF strategy and submission

 

Saffron Hutt – Programmes Manager (Departments of Informatics and Mathematics)

Saffron is responsible for the day-to-day delivery and long-term development of administrative support for undergraduate, postgraduate taught and research programmes for the Departments of Informatics and Mathematics. This includes:

  • Leading and managing the programme administration team
  • Responsibility for the administration and co-ordination of all programmes and modules offered by the Department, for example, induction, timetabling and maintenance of all programme and module documentation
  • Overseeing the management of all undergraduate and postgraduate taught examinations matters, for example, preparation of exam papers, timetabling and Examination Boards
  • Supporting all quality assurance-related matters, including module and programme approval, accreditation and providing advice to staff on College regulations
  • Servicing the Departmental Education Committees
  • Supporting the enhancement of student feedback mechanisms, for example online module feedback and Staff Student Liaison Committees (SSLCs)
  • Leading on the implementation of innovations to improve the student experience, including supporting staff with teaching and learning bids (e.g. the Annual Fund) and managing teaching and learning-related projects (e.g. the implementation of Moodle)

 

Jo Perry – Departmental Officer (Departments of Informatics and Mathematics)

Jo supports the day-to-day administration of the Departments of Informatics and Mathematics, including finance, facilities, space, HR, equipment and room-bookings, with responsibility for:

  • Departmental purchasing and ordering stationery
  • Departmental finances for Informatics and assisting with finances for Mathematics
  • Ad-hoc room bookings for departmental & centrally timetabled rooms (excluding room bookings for events, which Emily Balls deals with)
  • Arrangements for visitors
  • Staff common room supplies
  • Adding new Informatics staff to the departmental accounts database and website
  • Departmental equipment-booking systems
  • Supports the Departmental Coordinator in departmental HR duties, such as interview organisation
  • Receives calls and organises meetings on behalf of the Head of Department (Informatics)
  • Secretary to the Informatics Systems Committee
  • Deputises for the Departmental Coordinator as committee secretary in departmental meetings
  • Supports the Departmental Coordinator in managing departmental space and facilities

 

Pascale Searle – NETADIS Project Manager (Department of Mathematics)

Pascale project manages the Marie Curie Initial Training Network (ITN) “Statistical Physics Approaches to Networks Across Disciplines” (NETADIS), including:

  • Managing the operational aspects of the NETADIS network
  • Liaising with EU project partners and the College’s support services to support the network
  • Managing the EU reporting and assisting with report writing, scientific paper production and publication
  • Managing the project’s financial records
  • Providing administrative support for board meetings
  • Managing any project-related activities and events
  • Developing and maintaining the NETADIS website
  • Managing HR and recruitment processes associated with the project
  • Managing PR and promotion of the network
