Storing your data

King’s IT offer several solutions to help you store, share and move your data quickly and securely.

Choose Microsoft OneDrive

Access

Available as part of Microsoft 365.

Can synchronise files with your own devices

Access online via office.com or via Microsoft Office WebApps so you can work on files without a browser 

 Capacity

Store up to 1TB of data. Each file can be up to 200GB.

 Security

Microsoft Multi-factor Authentication (MFA) can be enabled to provide enhanced security access to OneDrive data. Contact the IT Servicedesk for more information (details below). 

Backup: The data is synchronised between your local OneDrive client and Microsoft Cloud. 

Microsoft manages the OneDrive Cloud environment and is responsible for service continuity. 

Up to 500 previous versions of data files can be stored indefinitely, until the data is deleted or the user leaves KCL. If a file is deleted from One Drive, it can be recovered for up to 93 days.

OneDrive for Business is compliant with GDPR, ISO27001 & Cyber Essentials Compliant  - however do check local data sharing agreements in relation to any data currently held on your local drives to ensure One Drive is a suitable storage option for that data.

Data backed up automatically automatically and by default only the user has access to this.  Access can only be granted to another person with written permission.

If you need to share the documents and collaborate with others regularly – consider SharePoint 

 Access

Access via any King’s Windows PC or laptop – go to File explorer>N drive

Available only to account owner

Only used for storing King’s data 

 Capacity

Can store up to 2GB of data 

 Security

Data stored in your homedrive (N) on King's computers is protected by King’s data centres and security technology. Please note, that if you are not running a King’s PC, the Documents folder may be stored on the local device only.    

This platform is not suitable for storing confidential or personal information as per GDPR guidance. 

Data is backed up daily: one copy is kept on-site and one copy off-site. Additionally, data copies are taken 3 times throughout the day, this will allow you to restore a previous version of a document independently of the backup service.   

Data from the last 6 months can be recovered. Any data older than this is not kept on backup and cannot be recovered.
